1. About NexaBots Ltd

2. Acceptance of Terms

By accessing or using any Service provided by NexaBots Ltd, you agree to be bound by these Terms of Service and our Privacy Policy. If you are using our Services on behalf of an organisation, you confirm you have authority to bind that organisation to these terms. If you do not agree, you must not use our Services.

These Terms constitute a legally binding agreement under the laws of England and Wales. We may update these Terms periodically. The date at the top of this page indicates the version in effect. Continued use after changes constitutes acceptance.

3. Description of Services

NexaBots Ltd provides AI-powered tools across multiple domains including but not limited to:

  • Career Tools: CVBot (CV optimisation and creation), InterviewBot (interview practice), ScreenBot (CV screening for recruiters), CoverLetterBot
  • Future Tools: We are developing additional toolkits covering business, finance, legal, health, vehicle, home, education, travel, and other domains

All AI tools are powered by large language models (currently OpenAI GPT-4o). Outputs are generated algorithmically and do not represent human professional opinion. Services are provided on a best-efforts basis.

4. User Accounts

Certain features require a registered account. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. You must provide accurate information during registration. Accounts are personal and non-transferable unless expressly agreed otherwise. We reserve the right to suspend or terminate accounts that violate these Terms.

You must be at least 16 years old to create an account. By registering, you confirm you meet this requirement.

5. Subscriptions and Billing

We offer free and paid subscription tiers. Paid subscriptions are billed monthly through Stripe, our payment processor. By subscribing, you authorise Stripe to charge your payment method on a recurring monthly basis, starting on the date of subscription. Your subscription renews automatically on the same calendar date each month unless cancelled.

You may cancel at any time through your billing dashboard. Cancellation takes effect at the end of the current billing period — you retain access until that date. We do not offer pro-rata refunds for partial months unless required by law. If a payment fails, we will notify you and attempt to retry. After multiple failed attempts, your subscription may be downgraded to the free tier.

Prices are displayed in GBP and are inclusive of VAT where applicable. We may change prices with 30 days' notice to your registered email address.

6. Acceptable Use

You agree not to:

  • Submit fraudulent, illegal, or harmful content to our tools
  • Use our Services to deceive or defraud third parties, including employers or recruiters
  • Reverse-engineer, scrape, or attempt to extract our underlying AI systems, models, or proprietary prompts
  • Make automated or excessive requests that degrade service quality for other users
  • Resell or sublicense access to our Services without written permission
  • Use our Services in violation of any applicable law, including data protection, employment, or consumer law
  • Impersonate any person or organisation when using our Services
  • Submit content that infringes third-party intellectual property rights

We reserve the right to terminate access for any violation of this section without notice.

7. AI Output Disclaimer — Important

This section applies to all AI-generated content produced by any NexaBots tool:

  • General: AI outputs are suggestions only. They may contain errors, omissions, or outdated information. You are solely responsible for reviewing and validating all outputs before use.
  • Career tools (CVBot, InterviewBot, CoverLetterBot, ScreenBot): Outputs do not guarantee employment outcomes. Employers' requirements and hiring decisions are beyond our control. AI-generated CVs and cover letters may require personalisation before submission.
  • Legal tools (when available): Nothing produced by any NexaBots legal tool constitutes legal advice. Always consult a qualified solicitor or legal professional before taking legal action, signing contracts, or making decisions based on legal information.
  • Health tools (when available): Nothing produced by any NexaBots health tool constitutes medical advice, diagnosis, or treatment. Always consult a registered medical professional for health concerns. In an emergency, call 999 or go to your nearest A&E.
  • Financial tools (when available): Nothing produced by any NexaBots financial tool constitutes regulated financial advice. NexaBots Ltd is not authorised or regulated by the Financial Conduct Authority (FCA). Always consult a qualified financial adviser for investment, pension, mortgage, or insurance decisions.
  • Vehicle tools (when available): Fault diagnosis and maintenance guidance is indicative only. Always have vehicles inspected by a qualified mechanic. Do not rely solely on AI guidance for vehicle safety decisions.

NexaBots Ltd expressly excludes liability for any loss or damage arising from reliance on AI-generated outputs. See Section 9 for our full limitation of liability.

8. Intellectual Property

The NexaBots Ltd name, logo, branding, website design, and underlying technology are our intellectual property and may not be used without written permission.

Content you submit to our tools (such as CV text) remains your property. You grant us a limited, non-exclusive licence to process your content solely for the purpose of generating your requested output. We do not claim ownership of content you create using our tools.

AI-generated outputs are provided to you for your own use. We make no claim over outputs generated for you. However, you should be aware that AI models may produce similar outputs for different users and we do not guarantee uniqueness.

9. Disclaimers and Limitation of Liability

Our Services are provided "as is" and "as available" without warranties of any kind, whether express or implied, including fitness for a particular purpose, accuracy, or uninterrupted availability.

To the maximum extent permitted by applicable law:

  • We are not liable for any indirect, consequential, special, or incidental damages arising from use of our Services
  • Our total liability to you in any 12-month period shall not exceed the total fees paid by you to us in that period, or £100, whichever is greater
  • We are not liable for third-party service failures (including OpenAI, Supabase, Stripe, or Sentry)
  • We are not responsible for decisions made based on AI-generated outputs

Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded under English law.

We process personal data in accordance with UK GDPR and the Data Protection Act 2018. Please read our Privacy Policy for full details of how we collect, use, and protect your personal data. By using our Services, you acknowledge our Privacy Policy.

12. Service Availability and Changes

We aim to maintain high availability but do not guarantee uninterrupted access. We may modify, suspend, or discontinue any Service or feature at any time. For paid subscribers, we will provide reasonable notice of material changes. We may add new features, tools, or pricing tiers at any time.

13. Termination

You may delete your account at any time from your dashboard settings. We may suspend or terminate your account if you breach these Terms, engage in fraudulent activity, or for any other reason we reasonably consider necessary to protect the security of our Services or other users.

Upon termination, your right to use the Services ceases immediately. We may retain certain data as required by law or legitimate business purposes.

14. Governing Law and Disputes

These Terms are governed by the laws of England and Wales. Any dispute arising from these Terms or your use of our Services shall first be attempted to be resolved through good-faith negotiation. If unresolved after 30 days, disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
